Executive Director (Contract, 1099 Independent Contractor)

Reports to: VNPA Board of Directors

Time Commitment: Approximately 10 hours per week (varies seasonally)

Position Summary

The Executive Director (ED) serves as the key administrative and communications coordinator for the Vermont Nurse Practitioners Association (VNPA). Reporting to the Board of Directors, the ED ensures consistent operations, supports member engagement, coordinates events and sponsorships, and facilitates communication among VNPA’s committees, members, and partners. This is a part-time 1099 independent contractor position with flexible hours.

Key Responsibilities

1. Board and Governance Support

  • Supports the implementation of Board-approved initiatives and strategic priorities.
  • Collaborates with the President to prepare Board meeting agendas and reports.
  • Maintains VNPA administrative records, policies, and bylaws.
  • Assists in scheduling and preparing materials for Board and committee meetings.
  • Supports the Board in the administration of annual elections—coordinating election notices, assisting with candidate communications, and managing election logistics in collaboration with the Secretary and Nominating Committee.
  • Note: Recording and maintaining official minutes remains the responsibility of the elected Secretary.

2. Membership and Communications

  • Manages the membership database, renewals, and new member onboarding.
  • Drafts and distributes member communications, newsletters, and event announcements.
  • Updates website content and coordinates social media posts in collaboration with the Board.
  • Responds to general inquiries received via VNPA email or website.

3. Conference and Events

  • Supports the Annual Conference Planning Committee with logistics, vendor coordination, and registration management. In person support at all conferences
  • Assists with continuing education paperwork, speaker coordination, and sponsorship tracking.
  • Helps promote educational and networking events through digital and print channels.

4. Legislative and Advocacy Support

  • Works with the Legislative Committee to disseminate updates and action alerts.
  • Coordinates with the organization’s lobbyist as directed by the Board.
  • Maintains relationships with allied professional associations and state agencies.

5. Financial and Administrative Coordination

  • Works with the Treasurer to manage invoices, reimbursements, and vendor payments.
  • Provides quarterly financial and membership summaries for Board review.
  • Maintains organized digital and administrative records.
  • Supports sponsorship and advertising programs.
  • No authority to bind VNPA financially or enter into contracts without Board approval.

6. Special Projects

  • Assists with ad hoc initiatives as requested by the Board, such as policy and procedures manual updates, membership surveys, or partnership outreach.

Qualifications

  • Strong organizational, written, and verbal communication skills.
  • Experience in association or nonprofit coordination preferred.
  • Proficiency with Microsoft Office, Google Workspace, and basic website/social media tools.
  • Familiarity with nursing or healthcare professional organizations is a plus.

Compensation and Terms

  • Contract position (1099 independent contractor)
    • Contractor manages own taxes, insurance, and workspace.
    • Paid hourly or monthly rate as determined by the Board
    • Reports directly to the VNPA Board of Directors.
  • Hybrid position
